Office Administration / Controller – Job description

Job Title: Office Administrator and Controller

Department: Administration

Position

The ideal candidate will be competent in prioritizing and working with little supervision. They will be self- motivated and trustworthy. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The office administrator ensures the smooth running of our company’s offices and contributes to driving sustainable growth. The tasks of the office administrator will include bookkeeping.

Duties and major activities

- All aspects of accounting including but not limited to:

- Accounts payable.

- Accounts receivable and collecting.

- Daily entering of invoices in both Sage and Gamma software with reconciliation of receivables completed and reported monthly.

- Staff payroll and tracking of vacation time.

- Bank Reconciliations.

- Government remittances including HST, PR, RC, WSIB, T4’s, and Summary.

- Tracking and payment of monthly sales commissions to our sales staff.

- Reporting and reconciliations completed for the Parent Company in Italy completed monthly, with a hard shutdown completed each month.

- Inventory tracking in both Sage and Gamma ERP software to reconcile.

- Complete year-end reconciliations

- Backoffice support for the sales team (document input: quotes and orders)

- Customer reception & mainline phone call reception

- Must be proficient with Sage and Excel.

Education
Degree in accounting, finance, or equivalent experience.

Professional experience
Experience with financial reporting requirements
Experience in working with multiple legal entities under different legal umbrellas.

Necessary knowledge
Financial software (Sage)
Auditing, accounting, and corporate finance
Financial skills
Tracking budget expenses
Knowledge of Microsoft Office suite

Job Type: Full-time

Salary: $65,000.00-$75,000.00 per year
